What does doing it by hand cost you?
List the tasks your team repeats every week and this automation savings calculator shows how many hours and how much money you get back, how fast the investment pays for itself and which workflow solves each one.
01 Your repetitive tasks
We start you off with three common tasks. Adjust the numbers to match what happens in your business, remove the ones that don't apply and add your own.
Monthly salary ÷ 173 hours, plus 25 to 35% for benefits and payroll taxes. A $4,000 monthly salary works out to about $30 an hour.
Add a task
02 Investment and assumptions
A one-time fee to design and connect the workflows, plus the monthly cost of servers, licenses or the WhatsApp API. Adjust them if you already have a quote.
03 Suggested recipes
How each task gets automated
Proven workflows built with n8n, the WhatsApp Business API and your CRM. Each recipe shows what triggers it, what it does and which tools it uses.
Three steps and done
- 01
Pick your tasks
Start from the most common ones (leads, WhatsApp, quotes, appointments, payments, reports, invoices, social media) or create your own with a custom name.
- 02
Adjust the numbers
How many times a week, how many minutes it takes, how many people are involved, their hourly cost and what percentage can be automated.
- 03
Decide with data
See the hours and money saved per month and per year, the full-time equivalent, how many months it takes to pay back the implementation and the recipe for each task.
What doesn't get measured doesn't get automated
Repetitive tasks rarely look expensive because you pay for them in minutes: three minutes per message, six to enter a lead, twenty per quote. Added up over a month, those minutes become dozens of hours of payroll spent copying and pasting instead of selling or serving customers.
The formula is simple. Hours per month = times per week × minutes × people ÷ 60 × 4.33 weeks. Those hours are multiplied by the percentage that can realistically be automated, because almost no process is 100% automatic: there's always a review, an exception or a phone call. The money saved is that result times the hourly cost of whoever does the task.
To see whether it's worth it, the calculator subtracts the monthly cost of the tools (the n8n server, CRM licenses, WhatsApp API messages) and divides the implementation cost by the net savings. If you recover the investment in under six months, it's usually an easy call. If it takes more than a year, start with just the two or three tasks that weigh the most in the chart.
The full-time equivalent doesn't mean letting anyone go. It means freed-up capacity: time your team can spend following up, selling more or serving customers better, without hiring someone else as the business grows.
Hours and money recovered
Per month and per year, by task and in total, using a realistic percentage of what can be automated.
Full-time equivalent
Turns the hours saved into full-time people based on a 40, 45 or 48-hour work week.
Return on investment
Months to pay back the implementation, with an adjustable range and the monthly cost of tools.
Chart by task
Ranks your tasks from most to least savings so you know which one to automate first.

For each task, the suggested workflow with n8n, the WhatsApp Business API and your CRM, step by step.
