WhatsApp works for US businesses selling to Hispanic customers because many of those customers already use it every day, especially immigrants from Mexico, Central and South America who use it to stay in touch with family abroad. Start with the free WhatsApp Business app and a click-to-chat button on your site and Google profile, then move to the WhatsApp Business Platform (API) when you need several agents, automation or CRM integration. Get clear opt-in before sending anything that is not a reply, and keep promotions rare.
- Offer WhatsApp next to phone and text, not instead of them.
- The free Business app covers one team on a few devices; the API is for scale and automation.
- Outside a 24-hour window after the customer’s last message, you can only send approved templates.
- Get explicit opt-in and honor opt-outs right away.
- Log every WhatsApp lead in your CRM with source and language.
Why WhatsApp matters for Hispanic customers in the US
In Mexico and most of Latin America, WhatsApp is the default way people message each other and many businesses. People order food, confirm appointments, send photos of a leaking roof and pay deposits through it. When they move to the US or Canada, they keep using it, partly because that is how they talk with family back home.
US-born Hispanic customers are more mixed. Many prefer text messages or iMessage, some use WhatsApp only for family groups. That is why WhatsApp should sit next to your phone number and text line, not replace them.
What WhatsApp does better than a form:
- Customers can send photos, videos and voice notes describing the problem.
- The conversation stays in one thread, so nobody repeats themselves.
- It feels personal and low-pressure, especially for people who are not comfortable on a phone call in English.
- Read receipts let your team see whether a quote was opened.
WhatsApp Business app or WhatsApp Business Platform?
There are two products, and choosing the wrong one wastes time.
| WhatsApp Business app | WhatsApp Business Platform (API) | |
|---|---|---|
| Cost to start | Free | Charged per message for templates; usually through a provider or your own setup |
| Who uses it | One person or a small team | Several agents, call centers, automated flows |
| Devices | One phone plus a few linked devices | Any number of agents through a shared inbox |
| Automation | Greeting, away messages, quick replies, labels | Full automation, chatbots, CRM integration |
| Bulk messages | Broadcast lists only to contacts who saved your number | Approved templates to opted-in contacts |
| Best for | Getting started, low volume | Steady lead flow, follow-up sequences, reminders |
A good rule: start with the app. When you notice leads waiting because the one phone is in someone’s pocket on a job site, or you want reminders and follow-ups sent automatically, it is time for the platform.
Set up the account properly
- Use a dedicated business number. Not the owner’s personal cell. A landline or VoIP number can work, since WhatsApp can verify it by voice call, which lets you keep your main business number.
- Fill out the profile in both languages. Description, hours, address, website and email. Write the description in Spanish and English.
- Write a greeting message that sets expectations: who answers, what hours, and what to send. For example: “Hola, gracias por escribir a Ramírez Plumbing. Te respondemos de lunes a sábado de 7 a 6. Mándanos una foto del problema y tu código postal.”
- Add an away message outside business hours with the time you will reply.
- Create quick replies for the questions you answer every day: service area, hours, how estimates work, payment options.
- Use labels such as “new lead”, “quote sent”, “scheduled” and “paid” so nothing gets lost.
- Upload a catalog if you sell products or packaged services. It lets customers browse without leaving the chat.
Give customers an easy way in
The more places a customer can start a chat with one tap, the more conversations you get. Every entry point should include a prefilled message in Spanish so you know where the lead came from.
- Click-to-chat links. A link like wa.me/1XXXXXXXXXX?text=Hola%2C%20quiero%20una%20cotizaci%C3%B3n opens a chat with the text ready to send. Our WhatsApp link generator (in Spanish) builds the link, a QR code and a website button.
- Your website. A floating button on Spanish pages, and next to the phone number on English pages. See how this fits with the rest of the site in our bilingual website guide.
- Your Google Business Profile. Google retired profile chat in 2024, so put the WhatsApp link on the page your profile links to. Our guide to Google Business Profile in Spanish explains how.
- Click-to-WhatsApp ads on Facebook and Instagram, which open a chat instead of a landing page.
- Offline. A QR code on trucks, yard signs, receipts, menus and invoices.
The rules: opt-in, the 24-hour window and templates
WhatsApp has strict rules, and breaking them gets numbers restricted or banned.
- Opt-in. Before you message someone who did not write to you first, you need their permission to contact them on WhatsApp. A checkbox on your form (“Acepto recibir mensajes por WhatsApp”) with clear wording works, and you should store when and where they agreed.
- The 24-hour window. When a customer messages you, you can reply freely for 24 hours from their last message. After that, on the platform, you can only send pre-approved message templates.
- Templates. Meta reviews each template and classifies it as marketing, utility (confirmations, reminders, updates) or authentication. Since mid-2025 the platform charges per template message, with marketing templates the most expensive and some utility messages free inside the customer service window.
- Opt-outs. If someone says “no me escriban” or “stop”, remove them right away.
US telemarketing law, including the TCPA, was written for calls and texts, and how it applies to WhatsApp is not fully settled. Treat consent as seriously as you would for SMS, and talk to your attorney before running large campaigns.
How to write messages that get answers
- Reply fast. The first business to answer usually gets the job. If you cannot reply in minutes during business hours, an automatic acknowledgment that asks for photos and a ZIP code keeps the lead warm.
- Match the customer’s tone and language. If they write in Spanish, answer in Spanish. If they mix languages, you can too.
- Choose tú or usted deliberately. “Usted” is the safer default for older customers and home services; “tú” fits food, retail and younger audiences.
- Be ready for voice notes. Many customers send audio instead of typing. Someone on your team needs to listen and answer, in Spanish, the same day.
- Keep messages short. One question per message. Send prices and estimates as a clear PDF or image, not a long paragraph.
- Promotions sparingly. A monthly offer to opted-in customers is plenty. More than that and people block you, which hurts your number’s quality rating.
A review request after a finished job is one of the best uses of WhatsApp: “Gracias por confiar en nosotros. ¿Nos ayudaría con una reseña en Google? Le toma un minuto:” followed by your review link.
Connect WhatsApp to your CRM
Once WhatsApp brings in steady leads, chats on someone’s phone become a problem: no record of who asked what, no follow-up when the salesperson is busy, no report on what the channel is worth.
With the WhatsApp Business Platform you can connect conversations to a CRM such as HubSpot or GoHighLevel, often with an automation tool in the middle. A typical setup:
- A new chat creates or updates a contact with phone, language and source.
- The lead is assigned to a salesperson, who gets a notification.
- If nobody answers within a set time, a manager is alerted.
- Follow-up templates go out on day 1, 3 and 7 until the customer replies or opts out.
We walk through that build step by step in automating lead follow-up with n8n, WhatsApp and your CRM.
Measure what WhatsApp brings in
- Use a different prefilled message for each entry point (website, Google, ads, truck QR) and log it as the lead source.
- Track WhatsApp button clicks as a key event in Google Analytics 4.
- Record jobs closed and revenue from WhatsApp leads in the CRM, split by language.
- Watch response time. It is the number most closely tied to how many chats turn into customers.
Review those numbers once a month with whoever answers the chats. Patterns show up quickly: the questions that keep coming back belong on your website, and the hours when messages pile up tell you when you need more coverage.
WhatsApp is also the main channel for buyers in Mexico, so if you plan to sell south of the border, read selling to Mexico from the US. You can see how we work with businesses in Los Angeles and other cities, or contact us to set up WhatsApp for your team.
